Abstract:
The Ports Authority in Colombo being the premier port in the country has naturally
become the focal point of the all port development activities in Sri Lanka since the
formation of the SLPA. There were many divisions such as Civil Engineering
division, Information System division, Financial division, each carried out several
management activities.
The existing overtime request processing system of each division was totally
manual. When employees needed to claim their overtime, they had to pass an OT chit
to the clerk and the clerk had to get approval from the in-charge of the relevant
department. At the end of the month, all the collected approved OT chit had to be sent
to the financial department to produce their salaries. This process was done regularly.
There were many disadvantages of this system such as heavily time consuming task
and errors when entering and editing data.
The new system was developed using the waterfall model. First requirement
analysis was done through interview with potential uses and studied the current
documents. In the designing phase database, interfaces and forms were designed
based on the user requirements. Implementation of the system was done using
VB.NET technology. Finally unit testing and system testing were done.
The new system, facilitated to enter the requested OT hours by each employee
and sent it to the higher officer through the LAN. The higher officer approved it if no
any corrections and sent back to the engineer through the LAN. At the end of the
month, the collected OT details of the employees was sent to the financial division
for the purpose of perpetration of the monthly salary..
